Privacy notice

First draft: not yet reviewed by a solicitor. This is a first-pass privacy notice covering the data collected through this website only. Anything marked [TO CONFIRM] is a placeholder and must be checked before this page is treated as final. It does not yet cover data collected later in the process (right-to-work documents, National Insurance number, bank details), which is handled after interview through a separate, more secure process. That process needs its own privacy information before it goes live.

1. Who we are

Vergo Ltd (company no. 16627585, registered office 96 Sulivan Court, London, SW6 3DB) is the data controller for the personal data described on this page. Our ICO registration number is [TO CONFIRM].

2. What we collect, and why

The quote form (/hire/quote)

If you enquire as a client, we collect your name, email, phone, company (if given), event type, date, times, venue postcode, staff numbers, roles needed, and anything you add in the message field.

Why: to respond to your enquiry and, if you go ahead, to plan and deliver your booking. Lawful basis: taking steps at your request before entering a contract, and our legitimate interest in responding to enquiries sent to us.

The application form (/work/apply)

If you apply to work with us, we collect your name, email, phone, postcode, an 18-or-over confirmation, the roles and experience level you tell us about, your general availability, any short bio you provide, and your CV file.

We do not collect your date of birth, National Insurance number, bank details or right-to-work documents through this form. Those are collected later, after your initial chat with us, through a separate process.

Why: to assess your application and, if there's a fit, arrange a chat and progress you towards work. Lawful basis: taking steps at your request before entering a contract.

3. Who we share it with

Email delivery for enquiry and application notifications (a transactional email provider), only to send the notification, not for marketing
Secure file storage for CVs you upload
We do not sell personal data, and we do not use analytics or advertising cookies on this site

4. How long we keep it

Quote enquiries that don't turn into a booking: kept for 12 months from your last contact with us
Applications that don't proceed: kept for 12 months from the date of your application, in case a suitable role comes up
If you become a client or a worker, your records are kept for as long as needed for the relationship, plus whatever period we're required to keep financial or employment records under UK law

5. Your rights

Under UK GDPR and the Data Protection Act 2018, you can ask us to:

give you a copy of the personal data we hold about you
correct anything that's inaccurate
delete your data, where we're not required to keep it
restrict or object to how we use it

Email wrobb@vergoltd.com for any of these. You can also complain to the Information Commissioner's Office at ico.org.uk, though we'd rather you came to us first so we can put it right.

6. Where your data is stored

Our hosting and storage providers are based in [TO CONFIRM: depends on final hosting/storage provider region]. If any provider is outside the UK, we only use providers with appropriate safeguards in place.
