1. Who we are
Vergo Ltd (company no. 16627585, registered office 96 Sulivan Court, London, SW6 3DB) is the data controller for the personal data described on this page.

2. What we collect through this website, and why
The quote form (/hire/quote) and event enquiry forms
If you ask us to book staff, we collect your name, email, phone, company (if given), event type, date, times, venue postcode, staff numbers, roles needed, service level, and anything you add in the message field. The event and special events enquiry forms collect the same kind of detail about your event.
If you send us a message rather than a booking, every field is optional apart from an email address or phone number so that we can reply.
Why: to respond to your enquiry and, if you go ahead, to plan and deliver your booking. Lawful basis: taking steps at your request before entering a contract, and our legitimate interest in responding to enquiries sent to us.
The application form (/work/apply)
If you apply to work with us, we collect your name, email, phone, postcode, an 18-or-over confirmation, the roles and experience level you tell us about, your general availability, any short bio you provide, and your CV file.
We do not collect your date of birth, National Insurance number, bank details or right-to-work documents through this form.
Why: to assess your application and, if there's a fit, arrange a chat and progress you towards work. Lawful basis: taking steps at your request before entering a contract.
3. If you work for us
What we collect: right-to-work documents, National Insurance number, bank details, date of birth, emergency contact details and pay records.
Why: to perform your employment contract and to meet our legal obligations as an employer, including right-to-work checks, tax, National Insurance, pension auto-enrolment and holiday pay.
Who we share it with: HMRC, our workplace pension provider, and our payroll software provider, each only as far as needed to pay you and meet those obligations.
- Right-to-work copies: kept for the length of your employment plus 2 years
- Payroll records: kept for at least 3 years after the end of the tax year they relate to
- Other employment records: kept for 6 years after your employment ends
4. Who processes data for us
- Fly.io: hosts this website and our systems, in London (lhr)
- Neon: our database, in London (AWS eu-west-2)
- Amazon Web Services S3: stores CVs you upload, in London (eu-west-2)
- Resend: sends our transactional emails (enquiry and application notifications and confirmations). Resend is based in the US; transfers there rely on the UK–US data bridge or other appropriate safeguards
- Google Analytics: tells us how the site is used, only if you accept analytics cookies
- WhatsApp (Meta): used for booking confirmations and messages, if you contact us or book that way
We do not sell personal data, and we do not use advertising cookies. Nothing is set for analytics unless you accept it, and you can change or withdraw that choice at any time using the “Cookie settings” link in the footer.
5. How long we keep website data
- Quote enquiries that don't turn into a booking: 12 months from your last contact with us
- Applications that don't proceed: 12 months from the date of your application, in case a suitable role comes up
- If you become a client, your records are kept for as long as the relationship needs them, plus whatever period UK law requires for financial records
6. Your rights
Under UK GDPR and the Data Protection Act 2018, you can ask us to:
- give you a copy of the personal data we hold about you
- correct anything that's inaccurate
- delete your data, where we're not required to keep it
- restrict or object to how we use it
Email booking@vergoltd.com for any of these. You can also complain to the Information Commissioner's Office at ico.org.uk, though we'd rather you came to us first so we can put it right.
7. Changes to this notice
We may update this notice from time to time. The current version always applies from the date it's published here.
